MICE Space is a first Ukrainian marketplace which will help you to find strategic Providers and Buyers all over the world.

MICE Space allows to pay your invoices within one business day.

How to work in our system? 
Work in the system MICE Space requires authorization 

For Provider 

Authorization consists of two stages: 

Registration 
1. Enter ‘Registration’ and chose ‘Provider’. 
2. Fill in all fields required. If you do not know how fill in any lines correctly, please contact our Customer Support or see the FAQ.
2.1 Fill in the banking details of the company carefully. Buyer’s payments will be credited to the details given. Moreover, the banking details is the ground for the cooperation agreement with Mice Space to be signed.
2.2 ‘Specialization’ contains a full range of services provided by your company. Due to the selection column your company will be displayed while searching for the specific services by agencies.
2.3 In ‘Contact Name’ enter the name of the person entitled to sign the company documents (Power of attorney). This very person will be written in the contract with MICE Space company as a person entitled to sign and enter into contractual relations with legal entities. 
2.4 In ‘Add office’ please add a full list of corporate offices in the service country to coverage agencies’ requests the most. 
2.5 By filling in ‘Service region’ you can select some service offices. Due to the line filled your company will be displayed while searching a provider. We recommend to select the maximum number of ‘Service region’ to cover more number of Buyer’s requests. 
3. Select the button ‘View company profile’ after filling in all menu lines.
 
ACCREDITATION 

FAQ: What is accreditation for? 
1. For completing accreditation, please fill in your bank details and click ‘Save’.
2. In the left menu item enter ‘Contract’, download the contract, fill in (check, sign and stamp by the person entitled), scan and upload it back.
3. Within 24 hours we will look through the contract, the access status will change to ‘Accredited’ (pending the e-mail notification).
4. After receiving the e-mail accreditation notification you are ready to work in MICEspace.travel system!

For Buyer

2.2 In ‘Contact Name’ enter the name of the person entitled to sign the company documents (Power of attorney). This very person will be written in the contract with MICE Space company as a person entitled to sign and enter into contractual relations with legal entities. 
3. After filling in you enter the main configuration window as Buyer. At this stage you are registered but not accredited.
 
ACCREDITATION
 
FAQ: What is accreditation for?

For making requests you need to add a manager responsible for the work in MICEspace.travel system. 
For adding a manager follow the instructions given below: 
1. Select ‘My Managers’ in the left field of ‘Buyer’ account
2. Enter manager’s personal data
3. A letter with login and password will be sent to the e-mail you mentioned.
4. You are ready to work in MICEspace.travel system!

HOW TO WORK IN THE SYSTEM

Buyer: 

1.      To find a provider. To find a provider, follow the link http://www.micetravel.space/search_operatora.php
2.      In the section column ‘Select’ a country, region of interest and specialization. To cover larger number of suppliers, do not fill in ‘Region’ field. Sometimes providers register their information incorrectly. Perhaps the provider you are interested in is in general list ‘Providers’.
3.      Selecting ‘Specialization’, specify only the service type you are interested in. If you select all or several specializations, you will be displayed providers offering a full range of services. To expand the search selection, select only one type of specialization.
4.      Select Provider on your request. In the bottom left corner you will see providers you are interested in. Click ‘Make a request’.
5.      Specify clear parameters on the request page for a provider to give you correct cost information.
6.      In 'MICE services' section you can add services several times. In order to clarify the date, detalize terms of service and expected cost, text in ‘Add Comment’ line.
7.      After filling in all request fields, click ‘Send a request’.
8.      ID of your request will be shown in the service notifications of your account. By clicking ‘Back to the request’ you can review correctness of the request made. If the request is made incorrectly, you can delete it and made a new one.
9.      When the provider answers to your request, you will get a serial number of a provider’s response and ID of your request in the service notifications. If the provider’s response satisfies you, ‘Request’ changes to ‘Order’.
10.  After the request confirmed you will receive a notification ‘Your request in MICE Space system confirmed’. In ‘Documents’ item you will see a pro forma invoice for the service payment. The service must be paid within one business day. The request status will change from ‘Pending the service payment to ‘Order paid’.
11.  Enjoy your work!
 
Provider: 

1.      If a request comes, you will see a ‘red circle’ service notification with the serial number of the request. To reply to a request, press ‘Edit’. You will be displayed a request form from Buyer. You will have 72 hours to respond (see in the bottom left corner). If you have questions on the request, you can ask in live chat with a representative of MICE Space or start communicating with Buyers directly.
2.      After the cost approved, you will get a service notification informing that the Buyer has approved your cost and is ready to pay, or asked to correct the cost.
3.      The cost is corrected by clicking the button to edit the request. A new response to the Buyer’s request is sent.
4.      When your answer to the order satisfies Buyer, the data is sent to MICE Space system.
5.      The order cost is checked. Pro forma invoice for the order payment is sent to Buyer, ‘Document’ section. Pro forma invoice is sent to Provider to email and service notifications. Within one business day your invoice will be paid by MICE Space.
6.      The request status will change from ‘Pending request payment’ to ‘Order paid’.
